What is Position Control?

Position Control is one of the most elusive topics in Human Resources. The phrase gets thrown around at conferences and in meetings, yet for some reason, a very limited amount of information is available online. This leaves many people still asking, “ what is position control?”

Putting It Simply 

To put it simply, Position Control is an HR software feature that allows organizations to budget at the position level, independent of the employee. This gives executives an unparalleled amount of control over their workforce by enabling them to build out positions with specific attributes that employees then inherit when they fill the position.

Position Control empowers executives to assign specific attributes such as salary ranges, job codes, programs, cost centers, FLSA status, credential requirements, and other labor costing information, to each position. As new employees are onboarded, they simply inherit those attributes and begin working. This eliminates the need for coding in new-hires and executing duplicate data entry. The position will prompt HR to collect the necessary paperwork and credentials, as defined by the position, so nothing slips through the cracks. New employees will not be able to fill a position until it is “approved to fill” and all position requirements have been met.

Who Should Use Position Control? 

This feature is designed for executives looking to have greater visibility and control within their organization’s complex structure and financial budget. Since the position structure is set up one time in an interactive organizational chart, with additional positions added upon approval, executives can easily track existing employees and vacancies within their organization, and budget accordingly, based on the salary ranges and other attributes attached to the positions. Features like vacancy reports, roll-up reports, and daily-lost revenue tracking enable executives to track budget allocation in real-time, making adjustments as needed.

Position Control is ideal for hierarchically structured organizations, specifically those in the Health and Human Services industry, that need to manage expensive and limited resources effectively. With labor costs representing the largest operating expense for most Health and Human Services organizations, a Position Control system provides executives with information needed to manage labor resources across all departments more effectively. Such a system allows Health and Human Services organizations to track position status by cost center, position title, and job classification. Additionally, Position Control allows for the tracking of critical credentials to ensure that each employee that fills a position has the appropriate credentials, and maintains those credentials, to provide the highest quality of care to their clients.

Position Control vs. Position Management 

With so many HR software providers claiming to offer features like Position Management or Position Tracking, it’s easy to get confused when trying to find information on Position Control. However, it’s important to understand that, just as the names are different, so is the functionality provided.

Terms like Position Management and Position Tracking indicate that the feature is an add-on application, and may only track information on the most basic level. A true Position Control system is much more sophisticated than that because it is built inherently into the software architecture and acts as the foundation for all other features and functionality.
